Portsonachan Hotel & Lodges values the privacy and security of the information you share with us. This Privacy Statement applies to information collected through Portsonachan Hotel & Lodges (the “website”). This Statement describes how Portsonachan Hotel & Lodges collects, uses, shares, protects, or otherwise processes your personal information. By using this website, you agree to the terms of this Privacy Statement.
Reservations can be transferred to a named person and the date of arrival can be amended providing it is at least 30 days prior to arrival, subject to an administration fee of £15.00.
All rooms will be held until 7.00 pm on the day of your arrival, if you are arriving after this time you must inform us before this time otherwise your reservation will be cancelled and you will not be entitled to a refund.
For promotional and voucher bookings, discounted promotional and voucher reservations including promotional upgrades are non-cancellable and non-refundable and you should refer to the terms and conditions specific to the voucher or promotion for further information.
For reservations made through third party websites, please read their cancellation policy.
For guests on non discounted stays, booked direct or through our third party partners, to receive a full refund, cancellations must be made at least 30 days prior to arrival. If you cancel without 30 days notice we reserve the right to withhold all monies paid.
OUR PET POLICY
Portsonachan is a Dog friendly hotel and we welcome up to TWO well behaved Adult dogs per accommodation. A charge will be applicable and this is currently £7,50 per dog per night. You must book in advance as there is a limit to the amount of dogs that we can accommodate. No charge will be applicable for Fully Certified Guide and Assistance dogs.
Pets should be fully trained and appropriately restrained by the owner and out of respect to other guests, and in the interest of safety, we kindly request that dogs are kept on their leash when in the Hotel Property and on the roads.
We politely request that you bring doggy bedding and towels with you, and with future guests in mind, you do not allow your dogs on the sofas or beds.
Dogs are not permitted in the Restaurant nor bar areas, and will only be allowed into the Reception area and the Conservatory. Guests dining at the hotel must pre-book if they wish to bring their dogs. This will reduce the possible waiting times to be seated and will allow us to have a suitable table available in the conservatory. If you do not pre-book we cannot guarantee that a table will be available. Fully Certified Guide and Assistance dogs will be allowed in all communal areas.
Guests must clean up after their dog, if they poop you scoop! Failure to do so may result in pet owners being asked to leave without any compensation for any unused accommodation along with a £100 fine.
Guests are fully responsible for all property damages and/or injuries caused by their pets. Guests agree to indemnify the hotel, its owners and its operators and staff from all liability and damage suffered as a result of the guest’s pet(s). The hotel reserves the right to make the appropriate charges to the guests account for such damages.
All dogs banned under the Dangerous Dogs Act will be refused entry to the Hotel, its accommodation and grounds.
Collection and Use of Information
Portsonachan Hotel & Lodges collects personal information to set up and manage accounts for our social commerce services. You may need to provide Portsonachan Hotel & Lodges with personal information such as:
name and email address.
Portsonachan Hotel & Lodges uses such information for:
– website registration;
– enabling sales and other transactions;
– processing payments and settlement;
– measuring, improving, and customizing our services;
– fulfilling other technical, logistical, financial, tax, legal, compliance, administrative, or back office functions.
– Portsonachan Hotel & Lodges does not hold or store credit/debit card details.
Portsonachan Hotel & Lodges combines technical and physical safeguards with employee policies and procedures to protect your information. We work to protect your personal information during transmission by using Secure Sockets Layer software, which encrypts the information that you provide online at our website. We will use commercially reasonable efforts to protect your information. We will also continue to assess new technology for protecting information and upgrade our information security systems when appropriate.
Further, we permit only authorized Portsonachan Hotel & Lodges employees to access any personal information. If an employee misuses personal information, we may take disciplinary action, up to and including termination of employment. If any third party individual or organization misuses personal information, we will take action, up to and including termination of any agreement between Portsonachan Hotel & Lodges and that individual or organization.
Portsonachan Hotel & Lodges processes personal information only for the purposes it was originally collected and in accordance with this Privacy Statement. Portsonachan Hotel & Lodges takes commercially reasonable steps to ensure that the personal data is relevant, reliable for its intended use, accurate, complete, and current for the purposes for which it is used. Portsonachan Hotel & Lodges retains information for as long as reasonably required for business purposes or as reasonably required to comply with our legal obligations.
Portsonachan Hotel & Lodges may send you relevant marketing communications considered to be of interest based on your profile. We aim to bring you the best offers available. OUR SMOKING POLICY
Portsonachan Hotel & Lodges has a strict NO smoking policy throughout all Guest Accommodation, Bar, Restaurant and all other indoor areas. Although smoking is not permitted within the Hotel & Guest Accommodation, Guests who smoke are permitted to do so outside in the designated areas. Please note that this policy also applies to ECigarettes. Smoking is permitted on private balconies/terraces providing that the balcony/terrace door is closed to ensure that smoke does not enter the Accommodation.
In the interest of safety and fire prevention, we kindly ask you to ensure that your Cigarettes/Cigars are properly extinguished before their disposal.
Portsonachan respectfully requests that guests adhere to this policy.
In the event that a Guest smokes inside their Accommodation the Hotel reserves the right to charge a £100 Deep Cleaning Fee to the room occupant.

Portsonachan Hotel & Lodges uses this information to enhance the functionality of the website and to make your access more convenient, secure, and efficient.
Portsonachan Hotel & Lodges also uses information gathered from logs and cookies to monitor website performance; improve website design, functionality, and security; and assemble web analytics and activity trends. Portsonachan Hotel & Lodges retains such information for as long as reasonably required for business purposes or as reasonably required to comply with our legal obligations.

When we are required or permitted to disclose information, we will not disclose more information than is necessary to fulfill the disclosure purpose. Portsonachan Hotel & Lodges may disclose aggregate or statistical information to our business partners, for public relations purposes, or other purposes.
We use contact information collected from third parties for marketing purposes which could be used under the legal basis of Legitimate Interest or Consent.

What rights do you have?
As a data subject, you have the following rights under the Data Protection Legislation:
• the right of access to personal data relating to you;
• the right to correct any mistakes in your personal data;
• the right to ask us to stop contacting you;
• the right to restrict or prevent your personal data being processed;
• the right to have your personal data ported to another data controller;
• the right to erasure; and
• the right to complain to the ICO if you believe we have not handled your personal data in accordance with the Data Protection Legislation.

We will respond to any rights that you exercise within a month of receiving your request, unless the request is particularly complex or cumbersome, in which case we will respond within three months (we will inform you within the first month if it will take longer than one month for us to respond). Where a response is required from us within a particular time period pursuant to Data Protection Legislation, we will respond within that time period.
Right to access to personal data relating to you
You may ask to see what personal data we hold about you and be provided with:

details of the recipients or classes of recipients to whom it is or may be disclosed, including if they are overseas and what protections are used for those oversea transfers;

We use data processors who are third parties who provide elements of services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold securely and retain it for the period we instruct.
Requests for your personal data must be made to us (see ‘How to contact us’) specifying what personal data you need access to, and a copy will be retained on your personal file. To help us find the information easily, please give us as much information as possible about the type of information you would like to see.
If, to comply with your request, we would have to disclose information relating to or identifying another person, we may need to obtain the consent of that person, if possible. If we cannot obtain consent, we may need to withhold that information or edit the data to remove the identity of that person, if possible.
There are certain types of data which we are not obliged to disclose to you, which include personal data which records our intentions in relation to any negotiations with you where disclosure would be likely to prejudice those negotiations.
We are entitled to refuse a data access request from you where (i) such request is manifestly unfounded or excessive, in particular because of its repetitive character (in this case, if we decide to provide you with the personal data requested, we may charge you a reasonable fee to account for administrative costs of doing so), or (ii) we are entitled to do so pursuant to Data Protection Legislation.
Right to update your personal data or correct any mistakes in your personal data
You can require us to correct any mistakes in your personal data which we hold free of charge. If you would like to do this, please:

It is your responsibility that all of the personal data provided to us is accurate and complete. If any information you have given us changes, please let us know as soon as possible ((see above ‘How to contact us’).
Right to ask us to stop contacting you
You can ask us to stop contacting you. If you would like to do this, please:
email, call or write to us.You can also click on the ‘unsubscribe’ button at the bottom of any email sent to you from us. It may take up to 5 days for this to take place; and
let us know what method of contact you are not happy with if you are unhappy with certain ways of contacting you only (for example, you may be happy for us to contact you by email but not by telephone).
We will provide you with information on action taken on a request to stop contacting you – this may be in the form of a response email confirming that you have ‘unsubscribed’.
Right to restrict or prevent processing of personal data
In accordance with Data Protection Legislation, you may request that we stop processing your personal data temporarily if:
you do not think that your data is accurate (but we will start processing again once we have checked and confirmed that it is accurate);
the processing is unlawful but you do not want us to erase your data;
we no longer need the personal data for our processing, but you need the data to establish, exercise or defend legal claims; or
you have objected to processing because you believe that your interests should override the basis upon which we process your personal data.
If you exercise your right to restrict us from processing your personal data, we will continue to process the data if:
you consent to such processing;
the processing is necessary for the exercise or defence of legal claims;
the processing is necessary for the protection of the rights of other individuals or legal persons; or
the processing is necessary for public interest reasons.
Right to data portability
In accordance with Data Protection Legislation, you may ask for an electronic copy of your personal data that you have provided to us and which we hold electronically, or for us to provide this directly to another party. This right only applies to personal data that you have provided to us – it does not extend to data generated by us.
The right to data portability also only applies where:
the processing is based on your consent or for the performance of a contract; and
the processing is carried out by automated means.
Right to erasure
In accordance with Data Protection Legislation, you can ask us to erase your personal data where:
you do not believe that we need your personal data in order to process it for the purposes set out in this Policy;
if you had given us consent to process your personal data, you withdraw that consent and we cannot otherwise legally process your personal data;
you object to our processing and we do not have any legal basis for continuing to process your personal data;
your data has been processed unlawfully or have not been erased when it should have been; or
the personal data have to be erased to comply with law.
We may continue to process your personal data in certain circumstances in accordance with Data Protection Legislation.
Where you have requested the erasure of your personal data, we will inform recipients to whom that personal data have been disclosed, unless this proves impossible or involves disproportionate effort. We will also inform you about those recipients if you request it.
Right to complain to the ICO
If you do not think that we have processed your personal data in accordance with this Policy, please contact us in the first instance. If you are not satisfied, you can complain to the ICO or exercise any of your other rights pursuant to Data Protection Legislation.
